About the Migration Manager Software Update (Part 1)

A major software update is being rolled out to all users.

This update is a very large update of Migration Manager that includes new features, feature enhancements and bug fixes. The primary focus of a lot of the changes is the introduction of the new Web Questionnaires. The update is made up of 2 parts – version 8.7.6 and version 8.7.7. Beta users will be upgrading from 8.7.6 to 8.7.7 (and should go straight to reading our Part-2 article) whereas the majority of users will be getting the combined update (and thus should read both articles)

Some of the main items included in this update are:

Web Questionnaires

This update sees the release of our Web Questionnaires which are set to supersede our PDF questionnaires. During the first few months we will be gradually adding more and more questionnaires to the list available. To begin with we are starting with Student Questionnaires, 482 Visa Questionnaires and 485 Visa Questionnaires. As we stress-test these questionnaires in more and more real world conditions and confirm that they are working as intended we will push out additional updates to add more questionnaire options.

You will now be asked to set a main office

When you first fire up Migration Manager after the update, if you have previously created an office or offices under the Firm tab in Preference you will be prompted to set an office as your main office. This is a once only requirement. If you have not previously set up an office, the update will automatically create one for you and you won’t see any prompt.

New Cover Page layout

We have made a number of changes to the layout of the cover page of a matter to make it easier to find and add information. For all file types we have:

  • Added a Description field which lets you enter details about what the matter is about. Note that this field will auto populate based on the category and matter type you select but you can overwrite this and set your own description.
  • Moved the 2nd and 3rd alternative reference fields along with the file created and engagement date fields to a pop up window (accessed by clicking the More button). This new window also includes a field for setting the legal basis/consent basis for those users who need to comply with GDPR.
  • Added a Quick Bio button and pop up which has been designed for you to be able to quickly see and enter some of the key pieces of information about an individual.

The Quick Bio window also replaces the fields which used to appear on the cover page of a Prospect file that allowed you to enter some basic assessment information about the main applicant. We did this for two reasons:

  • Previously you could only add information about the main applicant and you couldn’t easily add other people to the file from the cover page. This change now lets you easily add people to a Prospect file and lets you quickly add and see information about them; and
  • It has given us the requisite space to add the ability to set the matter category, type and stream which up until now was not something you could do easily for a Prospect.

New Document search function

One of the main things that people use Migration Manager for is generating and managing documents. Up until now, to access a document you had to go to the relevant matter first. In this update we have added the ability for you to search for documents across all files via the Open window.

If you open the Open window you will now see a tab called Document Search which can be used to find any document that is stored on a file in Migration Manager. By default it is sorted by date order and will show all documents to which you have access which have been created/received in the last 30 days. You can use the filters (particularly those under the Advanced dropdown) to extend or refine your search across all matters (to which you have access) and all dates.

Easier Invoicing

A frequent request from our Accounts users has been the ability to add items directly on an invoice without first having to create and save them under the Fees and Disbursements tab. With this update you will now have the ability to open a new invoice and add new entries directly in to the invoice by clicking the Add button.

New eLodge types available

This update has also coincided with an increase in the number and type of online applications that Migration Manager can now fill out. We have recently added:

  • The 482 Subsequent Applicants visa
  • Temporary Activities Sponsorship
  • The 489 Skilled Regional Visa

 

What is included in this 8.7.6 Update 

This update contains the following features and bug fixes for all our users:

  • Accounts
    • Accounts – Added a Bank Account column to View Deposit Requests window
    • Accounts – Added a user permission to restrict the editing of non-billed entries by a user depending on how many days it has been since the entry was created.
    • Accounts Preferences – Added a user permission to allow the user to overdraw an account. Note that trying to overdraw an account will trigger a warning.
    • Accounts Reconciliation – Added Additional memory clean up to assist with dealing with large accounting data sets
    • Accounts Report – Added a Bank Account name column to the Deposit Requests report
    • Accounts Reports – Fixed an error received by Beta testers when trying to generate a Client/Trust Ledger report.
    • Accounts Reports – Fixed an issue where leaving the To date blank was being treated as no date or 1/1/1900
    • Accounts Reports: Added Additional filtering and information to Pre-Billing Report
    • Accounts Search – Added the ability to open a matter via the right click context menu of the search results
    • Accounts Search – improve the speed of searching All Transactions for large databases. Changes have been made which should stop the search timing out for these very large databases.
    • Accounts Templates – Modified the Client/Trust Account receipt to include Additional bank account information
    • Bank Deposit – Fixed an error when trying to print a Bank Deposit at the time of creation.
    • Bank Deposit – Fixed an issue where starting balances were showing as EFT and showing on the Bank Deposit slip.
    • Bank Deposits: slips can now display a combined or separate number.
    • Bank Reconciliation – Fixed an error received if trying to import a bank account ofx statement if the transactions have no transaction ID
    • Bank Reconciliation – Fixed an error received when deleting a line from the Bank Statement view.
    • BPAY – Fixed an error messaged received if BPAY was enabled and then removed.
    • BPAY – Fixed an issue where imported webleads where not showing as being enabled for BPAY automatically.
    • Client Payments – Added the ability to have combined or separated numbering for Trust/Client fund payments where there are multiple accounts.
    • Fees – Added the ability to record time on the New Fee window.
    • Fees – Modified the Fee Code dropdown to now break up the codes into their fee types (Flat Fees, Hourl Rate, User Rate)
    • Fees – Added new options of No Code for Flat Fees, Hourly Rate and User Rate
    • Fees – Fixed an issue where changing a timesheet entry didn’t update the tax value in certain circumstances
    • Fees – Increase the number of characters which can be Added to the New Professional Fee Code description.
    • Invoice – Added the ability to Added existing or new fees or disbursements to a draft invoice.
    • Invoice – Fixed an error received when trying to generate an invoice with a very large number of entries.
    • Invoice – Modified the ability to Added new Fees, Costs and Disbursements to ensure that only the matter to which the invoice relates is set in the New Fee window.
    • Invoices – Added the option to allow invoices to be re-printed showing currently available client account funds.
    • Invoices – when writing off an invoice the amount to be written off will now be the net remaining amount instead of the original value.
    • Invoices – Fixed an issue where draft invoices were not showing in the Statement section the value of the current invoice.
    • Office Account – Fixed an error received when trying to reverse a receipt that was part payment of an invoice that had been paid using multiple methods.
    • Preferences – Added an option to allow the use of combined or separate document/item numbering when using multiple Client/Trust Accounts
    • Preferences – Added an option to run Client/Trust Account numbering for multiple account separately or combined.
    • Preferences – Added Additional user permissions for approving and finalising deposit requests
    • Preferences – Fixed an issue where the Account last number used field was not updating in preferences.
    • Preferences – Made last office bank deposit visible in the auto numbering grid
    • Preferences – Payment Surcharges section has been moved from the main accounts preferences tab to its own separate tab.
    • Receipt – Fixed an issue where the surcharge amount for credit cards was being displayed as being rounded up when less than 0.005
    • Receipts – Fixed an error that occurs when trying to reverse a receipt if the matter ID contains a lower case letter
    • Receipts – Fixed an issue where deleting a line from the receipt did not update the receipt total that was displayed in the window (did not affect data)
    • Receipts – Show a warning if the user attempts to add a surcharge for a payment type but the surcharge value has not been set in preferences.
    • Fixed an issue where if there are transactions with a transaction date prior to the first bank rec start date but have a created date after the first bank rec end date, these cause an error.
    • Reports – Added a Billing Receipt by Matter report
    • Reports – Added a Billing Receipts by Staff Member report
    • Reports – Added BPAY CRN field
    • Reports – Fixed an issue where fields relating to the old accounts system stop working after updating
    • Reports: Changed the Time Billing report to include time billing entries that have no client ID
    • Reports: Added an option to the Time Billing and the Fee Earner Performance Summary Report to show either inc tax amounts or ex tax amounts
    • Reports: Added a Not Billable column to the Fee Earner Performance Summary Report
    • Reversal – Fixed an issue where undoing a bank reconciliation did not undo the exclusions
    • Search – Fixed an error received when searching by CRN
    • Search – Set the Bank Account column to always be shown in search results.
    • Time Recording – Fixed an error received when trying to edit a time entry if the matter type had a ‘ in it.
    • Xero Export – Fixed a rare bug which gave a divide by zero error when opening the export to xero window
    • Xero Export – Modified the error message received when exporting to Xero if a GL Code is incorrect or missing.
  • Client Detail
    • Accounts – Fees and Disbursements tab: Fixed an issue where changing the display options caused an error
    • Applicant Detail – Added document type as a field to Passports/Travel Documents to allow the recording of non-passports
    • Asmt tab – Added a dropdown for Assessment type and expanded the width of the selection area of the Occupation field
    • Asmt Tab – Fixed an issue where an entry into the State Sponsorship section would not save unless there was also a Skills Assessment entry
    • Business Information tab – Added a Yes No question for Pacific Labour Scheme endorsement
    • Business Sponsor – Fixed an issue that prevented the recording of a Business Start date prior to 1900
    • Client Detail – Added specialist education to points page
    • Client Detail – Fixed an error received when changing the marital status in the relations tab for a linked spouse
    • Client Detail – ID documents – Added additional document types
    • Client Details – Visas – Fixed an error that occurred if you set the visa applied for date as a year beyond 2050
    • Cover Page – The cover page for Prospects and Client files has been changed:
      • There is now a matter description field
      • Matter Category, Type and Stream can now be set on a Prospect cover page
      • Alternative References have been moved to pop up window that is accessed by clicking a More button
      • Added the ability to set the Legal Basis/Consent (via the More button on the cover page)
      • The Prospect cover page has been modified to look more like the Client page. The prospect details have now been Added to a Quick Bio window that is accessed for all potential migrants via the Applicant’s grid.
      • The Sponsor matter type now has a Prospect Cover page
    • Education – Added fields for Category and Field of Education. The dropdown lists available are as per the Australian Standard Classification of Education listings.
    • Education tab – Fields Added for Category and Field of Study
    • Education Tab – Fixed an issue where reselecting a chosen Category blanked off the Field selection
    • Employment – Added a field for truncated employment duties with a character count indicator to allow the shortening of the position duties without impacting the original data.
    • Employment – Field added for Usual Occupation. This field is not specifically tied to an employment entry

    • Future Employment tab – Added a field for mobile phone country code
    • Future Travel tab – Change future travel to allow multiple entries and move contact details to a new Future Addresses tab.
    • Health – Added a field for health insurance: Organised by Education Provider
    • Health – Modified the health questions to now have separate grids for dealing with classroom and childcare questions to allow multiple entries.
    • Intended Employment tab – Added new fields for the Web Questionnaire import.
    • Intended Study – Added a field for providing details about education provider closure
    • Intended Study – Added fields for Letter of Offer and Continuation of Study
    • Intended Study – Added a new tab titled Other that has a new question to handle closure of education provider information.
    • Nomination – Caveat tab and fields Added
    • Nominations – Added a right click menu option to the Locations tab in Nominations that sets the Business Name, Website and Addresses to be the same as the business details.
    • Nominations – Fixed an issue where the position location was not saved as part of the position template.
    • Nominations – modified the behaviour of how the system handles changes to a Standard Business sponsorship class so that nominations are updated accordingly.

    • Passports – Added fields for Gender Shown and Original Issue Date
    • Preferences – Added an option for the matter description to be automatically created based on the Category and Type of matter selected. Note that if you type you’re own description on a matter the automatic changes won’t apply
    • Relations – Fixed an issue where changing the relationship type on the details page did not update the spouse relationship details fields.
    • Relations Tab – Fixed an issue where siblings were not being displayed for children.
    • Relations tab – Fixed an issue where trying to delete a family member would result in a timeout error.
    • Relations Tab – the legal impediment field now shows for children no matter the age
    • Sponsor tab – Modified the behavior of recording a nomination decision from the migrant file to only allow that to occur if the Sponsor matter is closed (to avoid data conflicts)
    • Sponsors – Added a matter type of Labour Agreement and various streams for the different types of Labour Agreements
    • Visa – Fixed an issue where upon Adding a new visa entry it defaulted to setting the visa type to be that of the first visa row.
    • Visas – Fixed an error received if the visa grant number had more than 20 characters.
    • Visas Tab – Modified the visas tab to show a separate Sponsorships section to deal with AusAid, govt sponsorship
    • Visits – Added fields for intended departure date
    • Visits – Fixed an issue where selecting a visa type which had the same starting 3 digits as other visa types reverted to the first 1 in the list.
  • Documents and Templates
    • Document Preview – Fixed an issue where Word documents were not displaying in the preview window
    • Document Preview – Fixed an issue with the incorrect tool tip showing over the options button
    • Documents – Added a status option of “With Client”
    • Documents – Fixed an error received when using the Email To button to send a document to a sponsor.
    • Documents – Fixed an issue where the Documents tab would grey out when changing screen size.
    • Documents – Modified the document Send To behaviour to ensure that documents can’t be sent to the inbox of individuals who do not have permission to view a matter.
    • Documents Tab – Added the ability to preview xlsx files
    • Documents Tab – Modified the Send To behavior to grey up unavailable staff options
    • Document Merge – Added improved speed and stability to the accounts document merge process.
    • Letter Merge – Added merge fields for second main business

    • Letter Merge – Fields for Guaranteed Annual Earnings, wages etc have been Added to replace older fields such TotalSalary and BaseSalary (these fields will still be visible but new matters will not make use of these).

    • CIQ Import – Fixed an issue where the contact person’s details were not imported into the Intended Employment tab
    • Fixed an issue where the importing of a BSQ in to a matter which already had a 457 Sponsorship, the new sponsorship defaulted to be a 457 instead of an SBS.
    • Passports – Fixed an issue where the passport was not being listed as the primary passport.
    • PDF CIQ Import – Fixed an issue where importing Employment details from Student Questionnaire adds contact to ‘Contacts’ tab but did not add a contact on the ‘Employment’ tab
    • PDF CIQ Import – Fixed an issue where re-importing a CIQ was creating duplicate employment details
  • Portal and Progress Items (MM side – See web release notes for web side update)
    • Inbox – Fixed an issue where editing a document from the inbox was saving to a temporary folder instead of the client folder.
    • Inbox – Fixed an issue where the filter was not defaulting to excluded rejected items by default from the view.
    • Messages – Added the ability to add merge fields to the default questionnaire messages.
    • MM – Progress Item – Tracking added to the database to record the exact time an item was marked as complete as opposed to just the date.
    • Portal – Fixed a rare issue affecting the visibility of documents sent by the agent to the Portal.
    • Portal – Fixed an error message that was received if you tried to activate the portal for a new matter that had only just had an email address Added which had not yet been saved
    • Portal – Fixed an issue where changing the Firm in the RMA tab was not being updated to the Portal
    • Portal – Fixed an issue where rejected items were not always displaying the rejected icon in the portal
    • Portal – Modified the behavior of the Progress tab and Portal to restrict the ability to change a progress item from a Document to an Activity while it is Added to the Portal. If you want to change the item type you will first need to remove it from the Portal.
    • Portal – modified the Portal to always display the designated user’s external email address
    • Portal – prevent the use of invalid character as a portal contact email address.

    • Portal Preferences – Clicking update webpage before you have activated the Portal now gives a message to activate the Portal.
    • Portal Window – Fixed an issue where the grid would flicker and show extra columns when moving items.
    • Progress Item Editing – Added some Additional warnings to prevent users from entering invalid dates
    • Progress Items – The date a declaration in a weblead is completed is now recorded in the Progress tab.
    • Progress Tab – Fixed an error that was received if you clicked ‘My Tasks Only’
    • Progress Tab – Modified the message that is recorded in the comments when an item is downloaded from the Portal to remove details of which user downloaded the item.
    • Progress Tab – ticking a progress item as complete will now prompt to set the status of a linked document as complete.
    • Reports – Added fields to the user created reports for Portal Activated (Yes/No), Portal Activation Date and Portal Activation Email
    • Schedules – Fixed an error received when trying to open Matter Type Associations when testing the Beta
    • System Reports – Added Portal Activation date to the Portal History report
    • Web Questionnaires – Added the ability to pre populate the instruction message with default instruction text.
    • Portal – Fixed an error received when trying to activate the portal which produced a message “Conversion from string “” to type ‘Integer’ is not valid”
    • Portal – Fixed an error received by non-rma users trying to send a portal message.
  • Preferences
    • Accounts Documents – Fixed an issue where the auto numbering settings grid was not displaying the last invoice number used
    • Firm – Added the ability to set a main office.
    • Firm tab – the Firm tab has been overhauled to allow each office to have separate contact details.
    • Firm tab – option Added to allow administrator to specify whether new files are to be automatically assigned the main office
    • Firm Tab – The system has been modified to prevent users deleting the main office. To delete an office that is currently assigned as the main office the user must first create/assign a new main office.
    • Open Window Preference – It is now possible to select/hide columns from the Quick Search window
    • Fixed a cosmetic issue with the payment surcharges table in preferences
    • Preferences – Modified the Files preference to allow control over what columns show for Quick Search
    • Preferences – Moved the PDF Questionnaire portal download instruction settings to the Questionnaires tab.
    • WCIQ – Added the ability to use a default message instruction text.
  • Reports
    • Added report fields for Health Insurance
    • Preset Reports – Fixed an issue with the All 457/482 report not working for some users.
    • Reports – Change the report field name VisaApplyingFor to MatterType
    • Reports – Change the field VisaStreamApplying to Stream
    • System Report – Added separate Matter ID column to the user activity
    • System Report – Added the logging of when a user opens a matters
    • System Report – Log when users log on and log off and what machine was used.
    • System Reports – Log when a user runs a report and the parameters of what was included in the report
    • User Defined Reports: Fixed an issue where the report column LatestQualificationCityCountry was only reporting city
  • Task Inbox/Snapshot
    • Document Inbox – Added a right click Send to Other option for documents.
    • Document Inbox – Added a user option button
    • Document Inbox – user option Added to always keep the inbox on top. Set this to off if you want other parts of MM to be able to open on top off the inbox.
    • Document Inbox – Added a user option to receive a windows notification whenever a Portal Message is received.
    • Document Inbox – Send To functionality now works completely separately to Responsibility for Documents and File Notes
    • Document Inbox – Added an option to Send to Other for documents and emails
    • Document Inbox – Added an option to Remove an item from your inbox (as distinct from marking it as Complete)
    • Inbox – Fixed an issue where the type filter was not properly filtering portal messages.
    • Inbox – Modified Inbox so that if it is opened via the Task button the search filter is always set to show all expired items (the from date is set by default to null)
    • Progress Items – Added Open Matter as a right click context menu option
    • Progress Items – modified the search parameters to provide a cleaner search interface.
    • Snapshot – Fixed an error received by Beta testers when trying to open the document inbox from the Snapshot
    • Snapshot – Fixed an issue where items Sent to someone where not correctly shown as counting in snapshot
    • Snapshot – Fixed an error received if snapshot was closed immediately upon logging in
    • Task Inbox – Fixed an issue where MM would sometimes freeze when trying to drag a large number of items between the Inbox and To Do Now/Do Later columns
  • WCIQ – Web Questionnaires
    • Version 8.7 sees the introduction of Web Questionnaires to Migration Manager. To begin with users will have a small number of Questionnaire made available with additional versions/types being rolled out progressively over coming weeks/months.
    • Inbox – Added the ability to receive and review WCIQs via the Inbox
    • Portal History log – Added the recording of when a WCIQ is sent to a client, submitted by a client and returned to a client
    • Progress Tab – Added the ability to open a WCIQ from the Progress tab right click options.
    • WCIQ – Added a demonstration questionnaire complete with data. This will appear in the WCIQ sending window if the email address of the matter is set to [email protected]
    • WCIQ – Added an option to return a WCIQ to the client for further editing. This return will be in the form of a message which also unlocks the WCIQ for further editing by the client
    • WCIQ – Added the creation of a progress item when sending a new web questionnaire
    • WCIQ – Clicking CIQ and then Web Questionnaire will start the Portal activation process if the portal has not previously been activated for this client
    • WCIQ – On the review message screen details have been Added of when the WCIQ was submitted by the client.
    • WCIQ Import – Added the ability to convert the WCIQ results to a PDF prior to returning it to the client for editing.
    • WCIQ Import – Added an initial validation screen upon the start of the import process to confirm that you are importing in to the correct matter.
    • WCIQ Import – An error dialogue window has been Added and will appear if there is an issue with the data that is trying to be imported
    • WCIQ Import – For non-cloud DBs a backup of the Database is saved to the M drive when a WCIQ import occurs
    • WCIQ Message – Added a More button which contains an option to send the questionnaire back to a client as well as an option to Send To another staff member.

    • Webleads – Comments made on the assessment are now saved in to the summary file note upon import.

    • all servers now support TLS 1.2.

    • Log a Support Request – Fixed an error that was received if the window was closed too quickly.
    • Menus – Fixed an issue where clicking File > Exit didn’t do anything
    • Matter Types Schedule – Spelling Fixed for Temporary Activities Sponsorship
    • New Matter window – Fixed an issue where the matter IDs were not incrementing if a manual number was introduced.
    • New Users – When creating a new users, the majority of permissions will now be ticked.
    • Nominations – Modified the search filter to no longer be case sensitive.
    • Open window – Added a column and search option for Description
    • Open window – Added a column and search option for Category
    • Open window – change the column header for Visa Applying For to now read Matter Type
    • Open Window – Fixed an issue where the Current Visa Expiry date was showing secondary applicant’s visa details instead of the primary applicant if the secondary applicant had a visa that expired after the primary applicant
    • Open Window – Fixed an issue where the list of matters was not appearing in alphabetical order by default for some users.
    • Open Window – Modified the open window to improve window performance.
    • Other – Added Additional universities to Student Version
    • Other – Added web questionnaire version details to About pop up
    • Other – Remove Send Questionnaire from the Tools menu.
    • Proxy Settings – Fixed an error message received after modifing proxy settings
    • RMA – Modified the RMA edit functionality to allow changing of RMA numbers.
    • Schedules – Added a schedule for managing the Legal Basis dropdown list.
    • Schedules – Added the ability to create new visas for different countries that are visible in the visas tab
    • Schedules – Users – The user creation / user edit form has been completely reworded to provid a cleaner interface and Added the ability to specify contact details for more than just an RMA.
    • Schedules – Users – Added a set External Email address field for all users. This field will be what is used for all Forms, Portal, eLodge and Letters.
    • Update – modified the exe to run against old databases to allow the user to get to the update window to finalise an interrupted update.
    • Other fixes and improvements.

How to Perform the Update

When you are ready to perform the update, you should login as the Administrator and then click on the Help menu and then click Online Update. For full instructions on how to perform the update, please see: How to Perform an Update.

 

When the update window opens click the ‘Start’ button and then follow any prompts. We do recommend that you do a full update and download the latest DIBP forms from Legendcom/immiAccount as DIBP has recently released a number of Form changes
